YOUR INFORMATION

Privacy notice

How we handle your enquiry, understand website use and respect your privacy choices.

Updated 3 November 2026

Who is responsible

The Energy Engineers Ltd, company number 11733630, is responsible for the personal information described in this notice. Our registered office is 2nd Floor, College House, 17 King Edwards Road, Ruislip, London HA4 7AE.

For questions about your information or to exercise your rights, email damian.smyth@energy-engineers.co.uk or write to our registered office, marking your message “Privacy”. You can also call 01895 283560.

What this notice covers

This notice covers visits to this website, commercial and garden-centre energy enquiries, and the communications needed to review and respond to them. If we agree a separate assessment or project, we will explain any additional uses of your information relevant to that work.

Information we collect

When you enquire, we collect your contact name, email address, business name and sector. The commercial form also requires a site postcode; the garden-centre form requires the number of sites and at least one energy priority.

You can choose to provide a telephone number and further business details, such as site postcode, annual electricity spend or estate energy-spend band, operating pattern, number of sites, ownership or lease position, energy priorities, funding preference and your role. Optional fields can be left blank.

We keep the enquiry answers, submission date, originating page and related communications. Our website, form and security providers may also process technical information such as IP address, browser or device details and request information to deliver and protect their services.

If you choose optional analytics or recordings, those providers also process information about the pages you visit, interactions with the website, browser and device, approximate location and pseudonymous browser or session identifiers. This information can be personal information even though it does not include the details you enter in an enquiry.

Please do not include account passwords, payment details or sensitive personal information in an initial enquiry. No bill upload is required. The illustrative calculator runs in your browser; its inputs and results are not transferred into your enquiry.

Why we use your information

We use your details to respond to your request, understand the business and site, assess initial suitability, arrange an agreed next step and keep a record of our communications. Initial enquiries are reviewed by Damian, with Craig involved in technical or commercial assessment where appropriate.

For a business representative’s enquiry, our lawful basis is our legitimate interest in responding to requested business communications and assessing potential work. We limit this use to information relevant to that request. If you personally ask us to take steps towards a contract with you, we may instead rely on those pre-contract steps. We may also keep information where necessary to meet a legal obligation or establish, exercise or defend legal claims.

For technical request information used to deliver and protect the website and forms, we rely on our legitimate interest in operating a secure, reliable service. If an optional feature requires consent for cookies or similar storage, that choice is separate from the basis for reviewing an enquiry.

We rely on your consent for optional website analytics and session recordings. We use these to understand traffic sources, which pages and tools are useful, and where visitors encounter difficulties. These choices are optional and independent of permission to load an enquiry form.

Submitting an enquiry does not book a meeting or commit you to a project. It does not subscribe you to unrelated marketing. You can object to direct marketing at any time using the contact details above.

Who can access your information

Information is available to the people handling your enquiry and the service providers supporting that work. Our enquiry forms and contact-management system use HighLevel, with LeadConnector communications services where used, administered with support from Success Formula Club. Cloudflare hosts and protects the website. Email and communications providers process messages and internal enquiry notifications.

With the relevant choice enabled, Google Analytics 4 provides website measurement and Microsoft Clarity provides heatmaps and session recordings. Google and Microsoft process technical and interaction information when their tools are enabled. See Google’s information about partner websites (opens in a new tab) and the Microsoft Privacy Statement (opens in a new tab) for their processing, international operations and privacy controls.

We do not sell your enquiry details. Expressing interest does not automatically send them to an installer, funder or other project partner. If an agreed next step needs such sharing, we will explain the recipient and purpose before it happens. We may disclose relevant information where required by law or needed to protect legal rights.

Processing outside the UK

Our cloud providers operate internationally, including in the United States, so information may be processed outside the UK. HighLevel’s data-processing terms include Standard Contractual Clauses and the UK International Data Transfer Addendum. Cloudflare’s terms also describe its transfer safeguards, including the UK Addendum and applicable adequacy arrangements.

You can read the providers’ HighLevel data-processing terms (opens in a new tab) and Cloudflare data-processing terms (opens in a new tab), or contact us for information about the safeguards relevant to your enquiry.

How long we keep information

For an enquiry that does not proceed, we retain the record for up to 12 months after the last meaningful contact, then delete or anonymise it. If the enquiry remains active or becomes an agreed project, we keep the relevant information while needed to handle that work and meet applicable record-keeping requirements.

Information may be kept longer where necessary for a legal obligation, complaint or legal claim. We limit any exception to the relevant records and review the need to keep them. Removing an operational record may not immediately remove copies held in provider backups, which follow the provider’s retention and restoration arrangements.

Google Analytics is configured to retain user and event data used in detailed explorations for two months, without extending a user identifier’s retention on new activity. This setting does not limit Google’s standard aggregated reports. Microsoft Clarity retains ordinary recording playback for 30 days; labelled or favourited sessions and heatmap or aggregated click data are retained for nine months. These provider retention periods are separate from the lifetime of browser cookies and our saved privacy choice.

Your choices and rights

You can decline optional information. Without the required contact and site details, we may be unable to respond to or assess an enquiry meaningfully.

Depending on the circumstances, you can ask for access to your personal information, correction, deletion, restriction or transfer, and object to processing based on legitimate interests. If we rely on consent for a separate activity, you can withdraw it. These rights are subject to the conditions and exceptions in data-protection law.

Contact us using the details above. You can also complain to the Information Commissioner’s Office (opens in a new tab).

Online enquiry forms and automated processing

The online forms are an optional contact route. Before loading HighLevel’s embedded form and its supporting script, we ask you to enable it. HighLevel can use cookies or browser storage to remember enquiry details, record which page or campaign led to your enquiry, and operate security checks. You can use the email and telephone routes without enabling the embedded form.

We remember your form choice for the current browser-tab session. Session storage used for campaign details also lasts for that tab session; any persistent provider storage may remain until removed by the provider or cleared in your browser. See HighLevel’s privacy information (opens in a new tab) for its provider-level processing.

After enabling forms, use “Disable online enquiry forms” in the footer or “Change form privacy choice” beside the form to withdraw that choice. This reloads the page and stops future embedded-form loading until you enable it again. It does not erase a submitted enquiry or storage already set by the form provider in your browser. Your browser’s site-data controls for this website and the provider can clear that existing storage. Opening the separately hosted form also loads HighLevel’s service; it is offered after the same form-enabling choice.

Automated steps save an enquiry, create an internal review task and notify the team. The enquiry is reviewed by a person. We do not use this form to make a solely automated decision with legal or similarly significant effects about you.

Cookies, analytics and recordings

On your first visit, you can accept optional measurement, reject it or choose your preferences. Analytics and recordings have separate switches, both off until you choose them. Neither service loads or sends measurement requests before its relevant permission, including requests that do not use cookies. Declining them does not prevent navigation, calculator use or an enquiry.

Website analytics: Google Analytics 4 measures page visits and selected interactions, such as enquiry-link, telephone, email, download and calculator actions. A telephone or email click records use of that link, not a completed conversation. We use fixed interaction labels and page addresses without query strings or fragments. Our measurement does not include names, contact details, enquiry text, uploaded files, or calculator inputs and results. Advertising features, Google Signals and advertising consent are disabled.

Heatmaps and recordings: Microsoft Clarity helps us understand clicks, scrolling and page interaction. Strict masking is used. Pages containing online enquiry forms or the calculator are excluded from recordings. Replay is also blocked where a page address or referring address could expose identifying information. We do not send enquiry answers or custom visitor identities to Clarity. Recordings are not a substitute for the enquiry records in our contact-management system.

Browser storage: We store your analytics and recording choices in this browser’s local storage under tee-measurement-consent-v1 for up to 180 days (about six months) so that we can respect them on later visits. This preference storage is used to remember your choice. If you enable analytics, Google may set first-party cookies beginning _ga to distinguish browsers and sessions; we set their lifetime to 180 days without extending it on each visit, subject to shorter browser limits. If you enable recordings, Clarity may set _clck and _clsk to connect page visits within its measurement. Advertising storage remains denied. Provider cookie details are described in Google’s cookie documentation (opens in a new tab) and Clarity’s cookie documentation (opens in a new tab).

Change or withdraw your choice: Use “Cookie preferences” in the footer at any time, turn off either service and save. Withdrawal reloads the page to stop future loading of that service and removes its first-party measurement cookies that our website can clear. It does not delete information already received by the provider or cookies on the provider’s own domains. Browser site-data controls can also clear saved choices and cookies; clearing a choice means we will ask again. To request deletion of personal information already collected, contact us using the details above.

You can also select “Exclude this browser from measurement” in Cookie preferences. We remember that exclusion in local storage under tee-measurement-optout-v1 until you remove it in preferences or clear browser storage. It prevents optional measurement even if you previously accepted it.

Enabling “Online enquiry forms” is a separate choice and does not enable analytics or recordings. Equally, accepting measurement does not enable the forms. Your browser or network may block optional tools even after you accept them, so our reports describe measured visits rather than every visitor or enquiry.

Changes to this notice

We will update this notice when the way we handle enquiries changes. The date above identifies the current version.

Return to the enquiry form

Choose either, both or neither. We remember this choice for 180 days in this browser. You can return here at any time using “Cookie preferences” in the footer.
